Minutes-Board of Trustees

December 18, 2007

The regular meeting of the Board of Trustees was held on December 18, 2007. President Shawn Gavan called the meeting to order at 7:02 p.m. Present were Director Ann Perrigo, Trustees Shawn Gavan, Billi Williams, Hollis Hough, Nancy Ingalsbee, and Susan Jerkatis. A City Representative will be appointed in January.

Minutes from the November Board meeting were approved upon a motion made by Trustee Ingalsbee and seconded by Trustee Williams.

The financial reports were reviewed, and upon a motion made by Trustee Jerkatis, seconded by Trustee Ingalsbee, the bills presented by Director Perrigo were approved for payment. The financial and statistical reports were also given at this time. It was noted that computer use and total visits were up.

Re: Special note is given that the property taxes show a discrepancy from October’s report. There was an error made in the county taking delinquent taxes.

The Annual State Aid Report has been completed and sent in by Director Perrigo. Trustees were given a copy to read.

OLD BUSINESS:

Friends Committee: The update from the Friends committee was read.

District Issue: The next step with the city is to discuss issues with property ownership. Another issue is benefits. Boundaries of the district were submitted to the State Library in November.

Building Maintenance:

• Potential drawing from Michigan Office Environments was received. Similar to previous plan, but no estimate.

• A call was placed to H&K to fix the rain gutters.

• Suburban Mechanical will wait to install HVAC and small air conditioner together when the weather is warmer.

• Energy subcommittee recommendations are forthcoming.

--Trustee Gavan will make sure HVAC agrees with energy assessment.

--Alan Smith is looking into lighting and computers

--Trustee Ingalsbee is looking into storm windows

Library Goals: Homebound Service is ready to go.

DDA Amendment: It appears to be a budget adjustment, not an increase in capture.

NEW BUSINESS

Personnel Issue: Hired two new high school pages for a total of three. Each are working eight hours a week.

Trustee Williams and Ingalsbee are meeting with city manager to discuss a personnel issue.

Public Comment: There was no public comment.

Librarian’s Report:

1. Annual letters will be sent to the townships to remind them of their yearly contribution to the library.

2. Newletter will include publicity about BookLetters.

3. An application was made to the USPS for non-profit postage.

The meeting was adjourned at 8:40 p.m. The next meeting will be held at 7:00 p.m. on Tuesday, January 15, 2008.
