ALLEGAN DISTRICT LIBRARY BOARD OF TRUSTEES
December 15, 2008
The meeting was called to order at 7:04 p.m. by President Susan Jerkatis. Present were: Trustees Antkoviak, Bortz, Garofalo, Hellmann, Jerkatis, Wott, and Director Perrigo.
The minutes of the November 17th meeting were approved. The monthly statistics and financial reports were reviewed. Trustee Wott will look into the tax bill for $9,636.58 from the City and will report on his findings at the January meeting. Motion by Trustee Wott, seconded by Trustee Bortz, that we pay November bills totaling $5,965.69. Motion passed unanimously.
LIBRARIANS REPORT:
Director Perrigo reported the resignation of Trustee Shawn Gavan because of his wifes illness. Trustee Jerkatis will write him a letter of resignation acceptance and appreciation of service. Director Perrigo will begin a search for a City resident to replace him. Trustee Wott suggested she contact Billi Williams, who has a business background.
Director Perrigo reported she will be heading to Denver January 21 through 28 for the ALA Mid-Winter Conference. She also announced that Linda Koch has begun working on her Master of Library Science degree online through Wayne State University. Director Perrigo urged Trustees to attend the last of Caldecott Committee member Ed Spicers meetings on December 17 at 7:00 at the library. Attendees will be given the opportunity to vote for this years Caldecott award book.
COMMITTEE REPORTS:
Friends Committee - Trustee Bortz reported a new President of the Friends, Marlene Buckles. There will be no meeting or book sale in December. A huge selection of books is expected for the January sale.
Personnel Policy - The committee has met and continues to work on policy.
OLD BUSINESS:
Building Improvements (Signage) - A letter has been received from Building Inspector, Ted Hanson, stating the citys size regulations and the fact that the sign should not be displayed longer than 30 days (a rule believed too be loosely enforced). Trustee Jerkatis will get new quotes. Keith Dawson will be doing the work on the restroom at the bottom of the stairs.
Letters to Township Treasurers - Director Perrigo reported that contracts, and a letter signed by President/Trustee Jerkatis, have been sent to Allegan, Valley, Cheshire and Heath Townships. Director Perrigo is awaiting return of contracts.
Administrative Assistant Position - Director Perrigo presented the Job Description for the position and asked for review. Discussion followed re hours involved to perform this job. Director Perrigo wishes to keep it at 20 hours per week. Trustee Bortz stated that, based on the description, she sees it as a more comprehensive administrative/secretarial position. Director Perrigo will re-write the portion stating that some evenings and weeks will be required. Trustee Garofalo suggested posting the position with MI Works, and Trustee Bortz suggested also posting with the Senior Employment Program.
Stormy Weather - Director Perrigo also reported we will have shovelers this winter, compliments of the Sheriff Department.
Financial Committee - Trustee Wott reported the Financial Committee will soon have bids for insurance, etc.
NEW BUSINESS:
Audit - Director Perrigo reported that we have contracted with Siegfried & Crandall to audit our books. They will audit us from 7/1 to 9/30 this year for the time we were still with the City, and we will be starting 10/1 with a clean slate for the District Library. Trustee Wott expressed concern that we may be inadvertently charged twice for this audit. Director Perrigo will check on this.
With no public comment at this time, the meeting was adjourned at 8:10. The next meeting will be held on Monday, January 19, 2009, at 7:00 p.m.
