ALLEGAN DISTRICT LIBRARY BOARD OF TRUSTEES
July 19, 2010

The meeting was called to order at 7:00 p.m. by President Jerkatis. Present were Trustees: Jerkatis, Kiella, Garofalo, Bortz, Antkoviak, Administrative Assistant Evelyn Lyzenga and Director Ann Perrigo.

The pledge of allegiance was said.

A motion to excuse Trustees Hellmann and Watts was passed.

A change was made to the agenda to add “selection of a financial auditor” under the Finance Committee report.

Trustee Bortz made a motion to keep the current officers of the library board for 2010-2011. Passed. The board also approved the 3rd Monday of each month at 7:00 pm as their official meeting date and time for the upcoming year.

Minutes of the June board meeting were accepted as written. Discussion of the minutes of the Special board meeting this past Monday, July 12th followed and it was passed that Trustee Antkoviak was excused.

Public Comment – Trustees reported much interest in the millage proposal. They are fielding many questions.

The statistical report and financial reports (June monthly budget and payroll) were reviewed and received.

Director’s report:

Director Perrigo called the Allegan police chief about adding handicapped parking spaces. The following day Denny Gorr called to discuss. He will start the application process.

At the author event a patron registered concern regarding our handicap accessibility. The library does have the handicap parking spots out front; the road level curb at the corner of the driveway & sidewalk and our automatic front door are requirements of the handicap accessibility law.

Summer Reading Program is going great.

American Library Association meeting that Director Perrigo attended last month was very productive and enriching.

ArtsAlive! needs more participation for the library. This program runs through September 5th.

Committee reports:

Friends Committee: Trustee Bortz reported that the July 17th book sale netted $366.46. Friends had a new volunteer at the book sale – our President – Susan Jerkatis.

Trustee Garofalo reported on the author visit on July 9th. There were 275 people in attendance. It was very well received. Many people wanted to know when the next one would be. Rhoda Janzen was most entertaining and there was a Q&A session as well. A reception afterwards and the selling & signing of her book was an event where many people lingered.

Budget Committee: no report.

Personnel Committee: no report.

Facilities Committee: The Board requested Director Perrigo to check with city manager, Rob Hillard, about the possibility of a DDA grant.

Finance Committee: There was an extensive discussion regarding retirement distribution where the Board realized that the City had not made its final payment for January-June 2009. The Board needs to establish a process to make sure this distribution is made in a timely manner in the future. To this end, Trustees Kiella and Jerkatis, along with Director Perrigo, will meet with the library’s accountant.

On the item of a bid for financial auditor, the board will discuss further after meeting with Angle & Steffes.

Millage Committee – next meeting will be after this board meeting regarding activities for these last two weeks before election on August 3rd.

The bills to be paid for the financial year ending June 30, 2010 and the new year starting July 1st were reviewed and motion made to approve the grand total of $17,472.65 for all of these bills. Passed.

Communications: Director Perrigo has not received a response from the Allegan City Council regarding the parking lot repaving. She will follow up. Director Perrigo reported a patron note regarding unfriendliness. She responded and the patron was delighted with the Director’s answer.

Unfinished business – none.

New business:

Director Perrigo received an email from the city manager asking two questions regarding the millage.

•    Why there is wording on the ballot regarding DDA and
•    if the current city millage will be eliminated

Following discussion the Board authorized Director Perrigo to respond.

Board Member Comments:

Director Perrigo shared with the board about the new Employment Workshop which will start Thursday, July 22nd at 6:30 pm lasting 4 weeks. The instructor will be Administrative Assistant Lyzenga. She already has been an employment counselor in another setting. The library is hoping to help meet the crucial need in our community of unemployment and doing job search.

Meeting was adjourned at 8:45 p.m.  The next board meeting is Monday, August 16, 2010.
